Reporting: The Basics


During a campaign, there are many milestones & moments to take stock of as you move forward. Being able to generate the right report at these moments, can not only give you peace of mind but can equip you to take your campaigns further. Reports: Features & Types

Reports are a way for you to capture your data in one simple place for a particular purpose. You may be looking to generate reconciliation reports for your accounting needs or produce a list of your fundraisers for the big event coming up. Whatever the purpose is, Raisely makes it simple to gather your data.
To access the Reports feature, simply select Reports from the sidebar. Here you will have access to Saved Reports, Bank Reports, and the option to create a New Report. 

Saved Reports contain a collection of default reports and your custom reports. Here you have the flexibility to filter campaigns and report types, and also to search for the report you are looking for.

Within each report, you have options to download, edit, schedule, duplicate, and more. 

Here is where you can create the custom report you need, simply by selecting Create a Report (top-right).

Bank Payout Reports provide an easy way to view your payment reports, enabling you to reconcile with your accounting means. Here you have the flexibility to filter campaigns and find specific accounts to report from.

Within each account report, you can quickly see which Campaigns they use and also see the easily downloadable payout history. You also have the option to edit the report template for that extra layer of customisation. 

REPORT TYPES

Raisely comes with existing report templates to make it quick and easy for you to collate the right data. Though you have the flexibility to create any report you like, from any field using the Report Builder, the templates are broken down into types. These include:
  • Transactions
  • Regular Donation Schedules
  • Profiles
  • People
  • Transaction Items
  • Orders
  • Receipts
  • Exercise Logs

When in the Report Builder you will see available data fields from each Type which you can add to your report. Note: report data is structured in single rows, so fields are only available if the Type has a relation with the Report Type selected. Eg. Receipts fields are available in a Donation Report since each donation also has a corresponding single receipt line relating to it.


Create a Report

From the sidebar, select Reports, then select Create a Report (top-right)

Scroll down to the report type, and either select from an E xisting Template or select Start from Scratch button

Now choose the Campaign/s you wish to report on

You will then be taken to the Report Builder, where you can customise your report through drag/drop fields and filters. When happy with your report, select Save & Continue

Next, your report is saved and you can now schedule or download it as a CSV file. Once done, select Finish to return to your Saved Reports. 2

Using the Report Builder

The Report Builder is a simple tool, enabling you to add, arrange, and filter specific data for your report. If you have selected a template, the data columns will be prefilled. Otherwise, it will be a blank canvas for you to work with.
To add a new data column, simply search for the relevant data field and drag it into the report table. 
To arrange your data,  simply hold your cursor on the column name to drag and drop. You can also remove columns with the column settings icon. 
You also have the option to filter each data column by hovering over the filter icon and selecting Create New Filter. Filters can be easily edited or removed once created.
The Report Builder helpfully displays actual data taken from your campaign/s, for you to see exactly what’s there. No more running reports finding after that there isn’t any data. At the bottom of the report, you will also see the number of records in which that report will produce, helping you determine that you have it just right.
You can also add an  empty columns into your reports, allowing you to add in custom data you may want included when exporting your reports CSV. This provides much needed flexibility when working with your data outside of Raisely. Within the Report Builder, simply select Add a Empty Column  when hovering over the middle of an existing column. To insert values into the column, select the first cell in the column to enter the default value.
The Report Builder also provides the options of LIVE or TEST data. This switch found at the top is helpful when you want to filter out or see the test donation data you entered before your campaign went live. 

Scheduling Reports

Needing a report for your regular weekly team update or looking to share reports with others in a timely fashion. Raisely reports scheduling feature enables you to schedule and share any report just the way you want.
To schedule a report, select the  Schedule a Report from either Saved Reports or on the final step of report creation. Under the Schedule Settings, you can set the frequency, date, and time of the report. 
The Schedule Reports to email switch allows you to share this report with others. In keeping with privacy best practise, only administrator emails in your organisation or campaigns will be able to have reports sent to them.
The Report Settings allow you to determine the Report Date Range as well as the Timezone settings.
To remove scheduling for a report, locate your report and select the Bin icon next to Schedule.

Bank Reports

To access your Bank Reports, from your sidebar simply select Reports > Bank Payout Reports
Bank Payout Reports are collated within the Payment Accounts you have set up. To view your reports, simply expand your Account to view and download. You also can customise your report template so that it matches your specific accounting needs.
You can search Bank Payout Reports via campaign by simply using the filter Select Campaign option up the top.

Export: Using your data anywhere

Raisely Reports gather the data you need when you want it. Once downloaded, you have the control to take it anywhere. Raisely reports are available in CSV format, providing the cleanest way to move your data into other platforms. 
Today, almost all data visualisation tools recommend a clean CSV file source, allowing you to quickly upload and present your data for your next meeting or personal reference. 

Looking to manage your Customer Success pipeline? Tools like Asana or Clickup allow you to import data via CSV, creating an easy way to view the fundraisers you need to follow up and encourage.

# How are Timezones formatted and set in Reports?

Whenever you're choosing dates in Raisely, you are choosing them in your local time – that's the time your computer clock is set to! That extends to reports too, when you download a report and choose a time option like "This week", and your computer timezone is Australia/Sydney, the time period you download will be from 00:00 on Monday, Sydney time.
The dates in your downloaded CSV file will also be in your local timezone, unless you opt to swap them to UTC.
By default, any dates in your report (for example, the Donation Created At date) will be formatted as an ISO8601 timestamp. You can change the preferred date format for your organisation under Organisation > Organisation Settings.

# I cannot schedule my existing reports. What do I do?

Existing reports that have been pulled across into the new Reporting release (2021) do not have the option for scheduling. If you are wanting all reporting features, simply duplicate this report.

# I cannot seem to add external recipients when scheduling a report

Sharing reports using the scheduling functions is limited to Administration Users within Raisely. Since donor information is sensitive, you are unable to share with external email addresses.

# Where are my 'Organisation Reports'?

Org Reports are found in Organisation > Reports. These reports are often customised and are unable to be pulled into the new Reporting release (2021).

# I cannot seem to find the self donation field. Does it exist?

Unfortunately you cannot report on self donations, as they are not a separated value within donations.

# Can I rename the columns?

Yes you can! Simply select the Settings icon on the column label and select Rename. This is a great way to use your exported CSV to match fields within other integrations.

# Where are my custom fields in the Report Builder?

All custom fields are available in the Report Builder under the fields specific  Type.

# When I go to Edit a report, I get a 'fetch error' instead of the report builder.

if when loading a report, you get a fetch error within a red box, simply hard refresh ( Mac: Cmd+Shift+R PC: Ctrl+F5) your browser page and you'll be taken to the report builder.

# My donation reports have changed to transactions. Why the change in name?

As Raisely has added the ticketing feature for the platform, a broader category of data was needed to account for donations & tickets. Hence Transactions are now the wider category used for Reporting. For more information on this change, check out the Introducing Transactions guide.
